A Resolution Establishing an Imprest Cash
Account for Handling Minor Disbursements
for Sunriver Library and Providing Procedures
RESOLUTION NO. 97-103
WHEREAS, Sunriver Library has a need for an imprest cash account for handling
minor disbursements relating to Sunriver Library fees and small purchases; and
WHEREAS, ORS 294.465 provides that imprest cash accounts for handling minor
disbursements must be established by resolution of the Board of County Commissioners;
now therefore,
BE IT RESOLVED BY THE BOARD OF COUNTY COMMISSIONERS OF DESCHUTES
COUNTY, OREGON, as follows:
Section 1. That an imprest cash account for the handling of minor disbursements
relating to the Sunriver Library be established.
Section 2. That $20.00 from Library Fund account 03-53-2201, Office Supplies,
be transferred to the account.
Section 3. That the object and purpose of the account is to pay minor
disbursements relating to the Sunriver Library.
Section 4. Depletions from the account may be replenished from account 03-53-
2201, Office Supplies line item of the Library Fund.
Section 5. Expenditure of funds out of the imprest cash account shall be
supported by a receipt or record for the expenditure. An accounting of all such
expenditures shall be maintained with the account records.
Section 6. No person shall expend or encumber, or authorize expenditure or
encumbrance of funds from this account in excess of the balance of the fund or for a
purpose for which there is no appropriation or source or reimbursement authorized at that
time.

Subject: Sunriver Request for Petty Cash
Date: July 10, 1997
As per my phone conversation with Chris, 7-10-1997, I am requesting
that a $20.00 petty cash fund for Sunriver be established.
Mary Berrigan is the branch supervisor who will be responsible for
the fund. She has appropriate forms for keeping a ledger etc. and a copy of the
County's current petty cash policy.
This fund will allow the Library to make small emergency purchases of
office supplies and other odds and ends. As you know, Sunriver is
quite distant from Bend and it is often difficult and timely to run to
town for the smaller items than might be critical to the operation of
the library i.e. a telephone cord or extra electrical plug.
This request for $20 is based on established need of the LaPine and Sisters libraries
which are of similar size to Sunriver.
