Ae meeting began at 3:001).m. Those attending the meeting reviewed an oversized floor plan of the second floor of the new building, and distributed reduced size copies to the attendees. She asked that each department review the plan and advise her of any adjustments that should be made. The main purpose of the plan is for everyone to determine which furniture pieces are still needed after the existing pieces to be moved are put into place. Mike Maier indicated lie would ask the Board to allow the departments to have some flexibility in regard to the vendor used to complete the furnishings. Each department should have autonomy and make its own determinations since some of the departments have specialised needs. Representatives of the departments can contact dealers for estimates, and, if necessary, can take field trips to view existing; furniture uses. Susan Ross explained that most furniture dealers have existing public contracts; therefore, it is not necessary to go to an RIP process. This was done in the past for other buildings, and going with the lowest bid has had some problematic results. She said she Nvould provide a list of the dealers with public contracts. Mike Maier indicated that a deadline for this process be set at August 1. The results of the meeting, in brief, were: 1. Susan Ross will provide a vendor list to departments. 2. Department representatives will arrange for vendor visits, tours, and whatever else is necessary for them to develop their "wish list". She advised them that it might be that their total list could be pared down if the cost exceeds parameters, but they might as well list everything that will help their department work smoothly. 3. The departments' lists of requirements will be submitted to Ms. Ross on or before August 1.
