BEFORE THE BOARD OF COUNTY COMMISSIONERS OF DESCHUTES COUNTY, OREGON
A Resolution Increasing a Petty Cash Fund for
Deschutes County Mental Health Department to * RESOLUTION NO. 2004-124
an Amount of $200.
WHEREAS, the Deschutes County Mental Health Department needs a petty cash account in the amount
of $200 to transact its business; and,
WHEREAS, the Deschutes County Mental Health Department has a petty cash fund in the amount of
$150; now, therefore,
BE IT RESOLVED BY THE BOARD OF COUNTY COMMISSIONERS OF DESCHUTES
COUNTY, OREGON, as follows:
Section 1. That a disbursement for $50 from account number 275-0000-101.01-01 (Cash) to account
number 275-0000-103.00-00 (Petty Cash) will be drawn to increase such account.

We have a need for access to petty cash for the ECOS program. This program provides
individualized services to clients who are very difficult to maintain in Foster Care and

other Senior residential services due to their difficult behaviors. The Extended Care
Outreach Program provides staffing 6 days a week and crisis availability on Sunday. The
clients participate in individual therapy, group therapy and other activities to improve
the quality of their lives and hopefully reduce the difficult behaviors that have caused
them to be asked to leave residential placements. An important feature of the activities
is that the are to be client selected. While advanced planning is always done other
conditions such as weather or how a client is doing on any given day often result in last
minute changes. We have and will continue to use purchase orders whenever possible, but
situations arise when last minute changes need to be made and the new activity selected by
the client may not take purchase orders. We are requesting that some petty cash be
available for these situations. These services are available to clients 7 days a week so
there are times when it is not only inconvenient but impossible to access petty cash from
either the main clinic building or the annex. A petty cash lock box would be kept in a
locked file cabinet in the locked Seniors office in the basement of the old Commissioners
Building. There are only two staff who would need to access these dollars and the on site
supervisor could audit the petty cash weekly. The funding received from the State for
this program includes funding for these activities.
